Fifteen modules, one case record
Each family is a product module. The phase label describes the first useful release, not the final extent of the module. Listings and sales offers are in the pilot workspace from the start, in draft and approval mode, so the records support the broader product.
Phase
Foundation
The records and controls everything else depends on: isolation by organisation, verified property facts, mandates and the action history.
F01
FoundationOrganisation and client onboarding
- Landlord and seller onboarding: identity, ownership, the mandate you give us and your preferences, recorded before anything is done in your name.
- Verify who can instruct the agent, approve spending, change payment recipients or accept offers.
- Import properties, contacts, tenancies, listings, suppliers and documents, with duplicate detection and a reconciliation report.
- Capture mandates, service agreements, communication preferences and approval limits.
- Configure brand identity, AI disclosure, business hours and duty cover.
F02
Foundation and PilotProperty knowledge and documents
- A property record for address, UPRN, nation, local authority, building, unit and ownership relationships.
- Leasehold evidence: service charge by accounting year, budget versus actual, ground rent and review provisions.
- Building safety records kept as supplied information, never upgraded to a safety conclusion.
- Every important assertion carries a source, date, page or clause, verification status and audience.
- A correction queue stops unverified conversation statements overwriting approved facts.
F11
Foundation and PilotShared communications and relationship memory
- One case timeline with delivery state, attachments, transcripts and the action taken.
- Public, resident-private, owner-private and internal information kept apart.
- Approved preferences and promises remembered with scope, expiry and provenance.
- Opt-outs honoured across channels; automation pauses the moment a human takes over.
F12
Foundation controls, Transactions operational coverageCompliance and evidence management
- Versioned nation, tenure and tenancy-type rules with effective dates and an accountable reviewer.
- Certificates, inspections, licensing obligations and required document delivery tracked.
- Evidence of notifications, approvals, offers, appointments, payments and exceptions retained.
- Automations freeze when a rule changes until the revised rule and its scenarios pass review.
Phase
Pilot
Assisted operation with staff review. Each module ships its first useful release here, in draft or approval mode where money or publication is involved.
F03
Pilot drafting, Transactions publishingListings and advertising
- Draft descriptions, titles and channel-specific copy from verified facts only.
- Flag missing material information, conflicting measurements and unsupported claims.
- Preview the complete listing and request approval of a specific version and price.
- Publish to the portals through an approved route and reconcile the live advert against the version you approved.
F04
PilotEnquiries and applicant management
- Web, portal, email, phone, SMS and messaging enquiries in one case history.
- Verified answers, information packs and genuinely available alternatives.
- Information collection kept separate from eligibility decisions, with reasons preserved for human review.
- Follow-ups within permission, frequency limits and contact preferences.
F05
PilotViewings and appointments
- Staff, contractor and resident availability with travel, keys, duration and access constraints.
- Time windows, expiring holds, confirmations from every required party and calendar invitations.
- Reminders, cancellations, rescheduling, no-shows and substitutes.
- A proposed slot, a calendar hold and a confirmed appointment are three different things.
F07
Pilot enquiry handling, Transactions completionLettings and tenancy lifecycle
- Qualification, referencing hand-off and secure identity collection.
- England right-to-rent workflows with human resolution of uncertain checks.
- Holding deposits, tenancy deposits, rent and other payments classified and timed lawfully.

F08
PilotMaintenance triage and contractor discovery
- Text, calls, photos and documents connected to the right unit and resident.
- Targeted diagnostic questions and a reviewed emergency script with duty escalation.
- Approved suppliers first, then permitted search; candidates become eligible only after verification and approval.
- Written quotes compared on scope, labour, materials, VAT, call-out, exclusions and warranty.
- Scoped work orders, access coordination, variations and completion evidence before closing.
F09
Pilot test mode, Transactions livePayments and financial administration
- Approved charge requests with a named payer, recipient, legal basis, amount and case reference.
- Stripe-hosted payment URLs delivered through an allowed channel.
- Issued, paid, failed, expired, refunded and disputed states from provider events, with duplicates tolerated.
- Client funds, service fees, rent, deposits and contractor payments kept as distinct flows.
F10
Pilot inbound, Transactions outboundVoice agent
- Answers our number, says it is an AI assistant for the agency, and locates the property.
- Interruptions, spelling and postcode clarification, number confirmation and concise summaries.
- Transfer to a human, a callback or an urgent case when the answer is uncertain or outside authority.
- Recording and transcription only under the configured lawful process.
F13

F14
Pilot links, Expansion portalsClient and resident access
- Clients approve, reject or change a proposal through an authenticated link or verified channel.
- Residents report issues, give availability, upload evidence and see their own case status.
- Contractors confirm slots, submit quotes, request variations and provide completion evidence.
- Each audience sees only what its task needs; holding a link is not universal authority.
F15
Pilot operational metrics, Expansion analyticsReporting and commercial administration
- Owner digests, case backlog, repair times, enquiry response time and viewing attendance.
- Billed, collected, refunded, disputed and paid-to-supplier kept distinct.
- Evidence coverage, escalation rates, incorrect-answer reports and unconfirmed external actions.
- Cost per completed workflow, voice minute, active property and organisation.
Phase
Transactions
Live outcomes under a narrow mandate once pilot evidence supports them: real payments, publishing routes and seller-approved negotiation.
F06
TransactionsSales offers and negotiation
- Capture the exact offer, buyer identity, conditions, chain, finance position and dates.
- Relay offers promptly and keep a complete offer ledger; never invent competing bids.
- Permitted counteroffers from the seller's recorded instructions; escalate anything outside them.
- An offer, an instruction to progress and a binding transaction are different states.
- Track conveyancing milestones without acting as the conveyancer.
Phase
Expansion
Portals for every audience, deeper analytics, the other three nations and Apple messaging through the chosen route.
Later extents of earlier modules
- Client, resident, contractor and buyer portals (F14).
- Analytics, billing, exports and usage controls (F15).
- Wales, Scotland and Northern Ireland, reviewed and activated separately.
- Apple messaging through the route chosen after evaluation.
- Commercial property, holiday lets and block management are separate decisions with their own domain models.
